Chapter Checklist
1. The current Chapter President should send the name and contact information for the next year’s Chapter President to the WVSCPA office at wvscpa@wvscpa.orgby October 1st of their year as the sitting President. The WVSCPA staff needs this information to invite attendees to the WVSCPA Cabinet Meeting that is held each January to discuss plans for the next fiscal year that will begin on June 1st.
2. The Chapter President’s Monthly Report should be completed each month and a copy emailed to Kim Midcap at kim@wvscpa.org. Chapter Board meetings should also be held throughout the year, either in person or virtually, and included in the monthly report. If no Chapter meeting is held during a month, the Chapter President may send an email to Kim stating that no meeting was held for that month in lieu of completing the report form. There should either be a report or an email sent every month. Copies of the Chapters’ Monthly Reports are included in the information that is shared with the WVSCPA board members at their meetings that are held in June, August/September, November, January, and April/May of each year.
3. Chapter Presidents will need to complete and submit the Annual Chapter Report for the current year ended May 31, YYYY to Kim Midcap at kim@wvscpa.orgby June 1st each year. This information is included in the WVSCPA’s Annual Report provided to members at the WVSCPA Annual Membership Meeting on Friday of the Annual Meeting each year. Most Chapters have completed their activities for the year by early May, so this timing should not pose a problem. If the Chapter is competing for the Witschey Award – Outstanding Chapter, this information will be needed by the WVSCPA Awards committee early in June as well.
4. The Chapter President (or Treasurer at the President’s designation) will need to complete and submit the Annual Chapter Financial Statement for the current year ended May 31, YYYY to the WVSCPA office at wvscpa@wvscpa.orgby June 10th each year. The Chapters’ Annual Financial Statements are not included in the WVSCPA’s Annual Report, but they are provided to the WVSCPA Board of Directors at their June meeting.
5. Chapters must follow the requirements regarding submitting nominations for WVSCPA awards to compete for the Witschey Award – Outstanding Chapter each year.
6. Chapter officers cannot issue CPE certificates for Chapter meetings. If a Chapter wants to offer CPE at a meeting, this MUST be approved in advance by the WVSCPA CEO and CPE for the meeting cannot be advertised by the Chapter without obtaining prior approval. All CPE certificates for Chapter events that have received approval for CPE will be issued by the WVSCPA office.
7. The WVSCPA will automatically assign new Society members to the appropriate Chapter and collect Chapter dues on behalf of all Chapters. Chapter membership is voluntary, so new WVSCPA members may opt out of belonging to a Chapter. They must notify the WVSCPA office in order to opt out of Chapter membership. The WVSCPA will prepare checks to the Chapters for dues collected on their behalf for the new fiscal year during the months of March through June in their July 15th AP processing. If additional Chapter dues are collected after this, additional checks will be sent to the Chapter. Chapter rosters will be maintained by the WVSCPA office, and this information will be periodically provided to the Chapter officers.
